Project Outreach Coordinator

EMC is presently seeking a motivated and detail-oriented Project Outreach Coordinator to support our growing team. This role is a full time, permanent, remote/hybrid position responsible for coordinating and executing EMC’s stakeholder engagement and data collection activities in support of a multi-year national Labour Market Intelligence (LMI) and Capabilities study.
This role serves as a central point of contact for manufacturers and workforce stakeholders, ensuring consistent, high-quality engagement and reliable data collection across multiple study cycles and platforms. The Coordinator plays a critical role in maintaining methodological consistency, protecting data integrity, and strengthening long-term relationships that support workforce analysis. This position blends stakeholder engagement, research coordination, data quality oversight, and project execution. It is ideal for a detail-oriented professional who is relationship-driven, process-focused, and motivated by advancing evidence-based workforce strategy.
Responsibilities
Stakeholder Engagement
- Drive CRM adoption and improve business processes within HubSpot CRM.
- Address CRM workflows, dashboards, reports, validation rules, and integrations.
- Support marketing campaigns and track/report on campaign performance.
- Manage sales funnels within HubSpot and ensure accurate data management.
- Monitor analytics and prepare reports on marketing and communications effectiveness.
- Support day-to-day CRM operations and teamwork.
Operations
- Coordinate implementation of annual and multi-year LMI data collection cycles.
- Maintain outreach cadence aligned with study timelines and deliverables.
- Track participation metrics and response rates in collaboration with internal teams.
- Identify engagement gaps and recommend adjustments to outreach strategies.
- Ensure timely follow-up and responsiveness to participants.
- Oversee adherence to approved call and email scripts, interview guides, and data collection protocols.
- Monitor live and recorded calls and emails to ensure quality, neutrality, and methodological consistency.
- Review and approve interview notes and data entries prior to finalization.
- Identify and address data gaps, inconsistencies, or emerging risks to data integrity.
- Maintain documentation of methodology changes and research decisions.
Reporting & Collaboration
- Track and analyze performance metrics (response rates, completion rates, data quality).
- Identify emerging labour market trends and flag insights for internal teams.
- Prepare internal summaries, dashboards, and briefing materials for leadership.
- Contribute to interim and final LMI reports in collaboration with Project Manager.
- Collaborate with CRM Manager and IT Manager as required.
Continuous Improvement & Systems - Recommend improvements to outreach centre processes, tools, and workflows.
- Develop and maintain training materials, FAQs, and objection-handling guides.
- Ensure compliance with privacy legislation, data governance policies, and consent protocols.
CRM Administration
- Maintain accurate and up-to-date stakeholder records in CRM systems.
- Track survey engagement history and survey participation trends.
- Support segmentation of manufacturers by sector, region, and size as required.
- Contribute to development and refinement of outreach tracking dashboards.
Outreach Team Leadership & Quality Oversight
- Provide day-to-day leadership, coaching, and support to Outreach Associates to ensure consistent, professional stakeholder engagement.
- Assign outreach activities and monitor progress against participation targets, timelines, and LMI study milestones.
- Ensure Outreach Associates follow approved outreach scripts, engagement protocols, and data collection procedures.
- Review outreach activity logs and stakeholder interactions to maintain quality, accuracy, and consistency across the study cycle.
- Identify performance gaps or training needs and contribute to the development of coaching tools, FAQs, and objection-handling resources.
- Escalate stakeholder concerns, operational risks, or data integrity issues as required to protect the credibility of the study.
Qualifications
Required
- 3-5 years experience in one or more of the following:
- Research coordination
- Workforce development or labour market research
- Survey administration or data collection management
- Project management
- Demonstrated experience of leading a team
- Strong understanding of data quality, consistency, and research ethics
- Excellent verbal communication skills with the ability to engage senior industry stakeholders
- Strong organizational skills with the ability to manage multiple priorities and timelines
- Proficiency with CRM systems and data tracking platforms
- Legally eligible to work in Canada
Preferred
- Experience in manufacturing, skilled trades, workforce development, or economic research
- Familiarity with longitudinal or multi-year research studies
- Experience working in a non-profit, industry association, or policy environment
- Bilingual (English/French) is an asset
